Creating & Editing Quotes

The Quote Editor gives you complete control over quote details — from order items to payment schedules.


📊 Quote Status Section

Manage the quote lifecycle:

  • Response Due Date — Set a deadline for customer response
  • Send Quote — Email the quote to your customer
  • Re-send Quote — Send the quote again (button changes after first send)
  • Order Link — If the quote is accepted, the link to the created order appears here

💡 Tip: Sending or re-sending a quote triggers an email notification to the customer.


🛒 Order Items

View and modify the products in the quote:

  • Add Products — Include additional items (including unlisted products)
  • Remove Products — Delete items from the quote
  • Adjust Quantities — Change item quantities
  • Update Pricing — Modify prices as needed

You have full flexibility to customize the quote before sending it to the customer.


📦 Fulfillment Details

Edit fulfillment information:

  • Fulfillment Method — Change between Pickup, Delivery or Shipping
  • Fulfillment Fees — Adjust pickup, delivery or shipping charges
  • Address — Update customer address (for delivery/shipping)
  • Fulfillment Date — Set when the order should be ready

👤 Customer Information

Update customer details:

  • Full Name
  • Email
  • Phone Number

💳 Payment Schedule (Quote)

Set up payment terms:

  • Deposit — Initial payment amount (optional)
  • Balance — Remaining payment amount

⚠️ Important: Payment schedules in quotes cannot have transactions (payments/refunds) recorded against them. Once the quote is accepted and becomes an order, payments can be processed.


📝 Notes Section

Keep track of important information:

  • Customer Notes — Notes the customer provided during checkout
  • Notes for Customer — Notes you want the customer to see
  • Internal Baker Notes — Private notes for your records only

🎬 Quote Actions

Cancel Quote

Mark the quote as cancelled (only available if not accepted/declined).

Archive Quote

Move the quote to archived status to keep your active quotes list clean.

  • Set realistic response due dates to create urgency
  • Review all details carefully before sending quotes
  • Use baker notes to communicate special requirements
  • Include fulfillment fees upfront to avoid surprises
  • Archive old or declined quotes regularly
