Inspect and adjust an issued gift card

Check balance, status, expiry and history, and keep card adjustments separate from payment refunds.

A Gift Card digital product issues a code after the paid-order flow completes. Its denomination comes from the product price and optional Expiry (days) is measured from issue. Open the customer's record under Customers to inspect their issued cards, or follow the gift-card controls on the associated order.

Check the existing card first

Open Gift Card and review its code, original value, current balance, status, expiry and history. An unpaid purchase is not an issued spendable card. A card that is expired, suspended or revoked may not be usable even when a balance is shown.

Adjust the balance

  1. Choose Add balance or Deduct balance in the balance controls.
  2. Enter Amount and a required Reason. Add Internal note (optional) when context is needed.
  3. Review the proposed balance and any blocked state or confirmation. A credit above the original card value requires the permitted Replacement reason and the displayed acknowledgment; ordinary balance credits cannot silently bypass that limit.
  4. Apply the action and check the resulting balance and History. It takes effect immediately. If correcting a prior credit, use an appropriate reversal deduction and preserve the explanation in history.

Details and revocation

The edit controls offer Recipient Name, Recipient Email and Expires At (Optional). Use Save Changes for detail edits. Revoke this gift card has a separate confirmation and prevents its continued use; it is not a card-payment refund.

Adding gift-card balance gives store value, while refunding a payment returns money through the relevant payment workflow. For canceled or edited orders with issued/redeemed gift cards, inspect the order's gift-card resolution and pending redemptions before making another adjustment. Check the customer and card code carefully so the same correction is not applied twice.
