Refund a payment

Refund a Square payment, or record a refund you gave outside Square.

  1. Save any edits, then open the order and go to its payments section.
  2. On the payment, select:
    • Refund — for a payment collected through your connected Square account (online checkout or Card via Square in Sell In Person). Bakebug checks the payment with Square, then Square returns the money to the customer's card.
    • Mark as Refunded — for any payment made outside the Square integration: cash, e-transfer, Venmo, Cash App, Other, and so on. Return the money yourself first; this only records it. Choose the Refund Method you used.
  3. Enter the Refund Amount (full or partial) and the Reason for Refund, then confirm.

Square refunds can take a few business days to reach the customer. If the order used a gift card or loyalty points, you can restore them in the same dialog.

Refund only the remaining refundable amount after previous refunds. If Square reports that the payment needs an in-person/card-present refund, follow that message rather than repeatedly submitting the same online refund.

A refund does not by itself decide whether the order is canceled or its inventory is made available again. Review cancellation and replenishment separately.
